How to use the online expense tracker
Follow these quick steps to log personal or business income and expenses, analyze monthly category totals, and export clean financial reports.
Open Free Expense Tracker- 01
Pick the month
Open the tracker and use the month selector at the top to choose the month you want to track. Every personal or business transaction you add is filed under that month automatically.
- 02
Add your income
Set the entry type to Income, choose a category such as Salary or Freelance, add a short description, the amount, and the date, then select "Add to ledger".
- 03
Log your expenses as they happen
Switch the entry type to Expense for daily purchases, bills, or business receipts. Choose the closest category (Housing, Food & Groceries, Utilities, Software, Taxes) so your category breakdown stays accurate.
- 04
Watch your totals update in real-time
The summary cards above the ledger update instantly: total income, total expenses, remaining net balance, and your savings rate for the month.
- 05
Review spending by category charts
Inspect your Chart.js category graph to see which categories take up the largest share of your monthly expenses.
- 06
Edit or remove transactions any time
Select "Delete" next to any row to remove an entry, or use "Clear this month" if you want to start fresh.
- 07
Export your monthly expense overview
When you are ready to save a copy for tax time or personal records, click Export CSV, Export Excel (.xlsx), Export PDF, or Export Image. Both Image and PDF exports automatically include visual category breakdown charts, 50/30/20 figures, KPI summaries, and your complete transaction ledger in identical layout.
Tips for getting the most out of your budget planner
Log entries the same day
A budget planner is only as useful as it is current. Add an expense the same day you spend, even if it's a rough amount you correct later.
Keep categories consistent
Reusing the same category for similar purchases (always "Food & Groceries" for supermarket runs, for example) is what makes the category breakdown meaningful.
Export at month end
Before switching to a new month, export a high-res Image or printable PDF report (both featuring category charts, 50/30/20 figures, and full ledger tables) of the one you just finished. It's a quick habit that gives you a permanent visual record.
Start simple
You don't need a category for every possible purchase. Start with eight to ten broad categories and only add more once you see a real need for them.
